S/he will be based in Educo Country Office, Dhaka with frequent field visits in the project areas

Purpose

Ensuring all administrative functions are carried out effectively for smooth day-to-day operations. The position will serve as a representative face of Educo Bangladesh by communicating and disseminating messages and correspondence in an appropriate and professional manner. The role will also ensure proper documentation of all administrative and other relevant operations.

Engagement
  • Maintain regular communication with different departments and employees of Educo Bangladesh.
  • Coordinate with external vendors and service providers.
  • Communicate with the Country Security Focal Point regarding safety and security-related documentation.
  • Exchange information and documents between the office and relevant external entities to support smooth office operations
Delivery
  • The Front Desk Executive will deliver information and documents in a timely and organized manner while ensuring quality standards.
  • Provide necessary support to visitors and colleagues, especially international colleagues.
  • Ensure timely logistics support for employee field visits, training sessions, and workshops.
  • Organize and support different events such as birthday celebrations, farewell programs, and other office events as required.
  • Ensure proper office management and maintenance to support smooth and efficient day-to-day operations.

  • Receive all incoming telephone calls and forward them to the concerned person or department. Maintain messages for personnel who are unavailable and convey the messages upon their return.
  • Make external phone calls as requested by concerned persons or departments and inform requestors in case of any delay in connecting outgoing calls.
  • Respond to vendors’ queries regarding cheque-related matters.
  • Maintain call registers for official mobile phones and landlines.
  • Operate and manage the fax machine as required.

Dispatch Correspondences

  • Receive, register and dispatch all incoming letters/ bills/parcels to the concern person/departments.
  • Support to courier outgoing letters

Security Management

  • Follow up travel and maintain travel register for local and expatriate staff.
  • Ensure documentation of travel authorization & security briefing acknowledgement

Arrange Ticket, & Hotel Booking

  • Draft visitor invitation letters as required.
  • Coordinate with travel agencies to arrange domestic and international air tickets for Educo staff.
  • Communicate with and enlist suitable hotels within Educo’s working areas for local and expatriate staff.
  • Arrange hotel bookings for expatriate staff as required.
  • Arrange dormitory/hotel bookings and air tickets for local staff.
  • Draft letters for the NGO Affairs Bureau and local police regarding expatriate staff matter.
  • Ensure appropriate approval, signature, and dispatch of official letters.
  • Maintain close coordination with hotels, air ticket vendors, and staff to ensure smooth travel and accommodation arrangements.

Administrative Functions

  • Follow up on the daily scheduled work of cleaners and gardeners, including attendance tracking.
  • Ensure cleanliness and proper arrangement of the visitors’ sitting area.
  • Maintain cleanliness of meeting rooms and arrange food and logistical support during meetings as required.
  • Prepare schedules and organize meeting rooms based on requirements from different departments.
  • Update staff lunch records and calculate monthly billing amounts.
  • Ensure all office spaces remain clean, organized, and fully operational, including furniture, lighting, air conditioning, and washrooms.
  • Coordinate repairs related to electrical, plumbing, and other infrastructure issues as needed.
  • Manage service providers for cleaning, security, pest control, and other facility-related services.

Education

Minimum Graduation from any discipline/subject from a reputed University

Language

Position requires both Bangla and English at intermediate level

Experience and Requirements
  • A minimum of 2 years of relevant work experience, preferably in international organization
  • Good writing and translating capacity (both English and Bangla)
  • Knowledge in MS word, MS Excel, Power point
  • Excellent communications skills (verbal, written, electronic); ability to communicate complex, technical information in a simple and articulate manner
  • Excellent interpersonal, analytical and problem-solving capacity
  • Understanding of Educo’s Mission, Vision, Values, and Principles
  • Ability to follow procedures and work cooperatively with team members
  • Broadly focused but with the capacity to pay attention to details

Salary and Benefits

Monthly Gross Salary:
    BDT 34,168/- (Taka Thirty-Four Thousand One Hundred and Sixty-Eight) only.
Other Benefits:    
Festival bonus, Provident Fund, Gratuity, Group Insurance, Leave Encashment and Mobile Allowance.
