Key roles and responsibilities

Key Responsibilities

Daily Basis:

  • Oversee day-to-day cash operations: record deposits, process withdrawals, and manage cash reserves.
  • Voucher & Cashbook: Filling of voucher(s) & registration/recording of voucher(s) in cashbook and scanning.
  • Voucher Checking: Verify vouchers and supporting documentation before posting entries into the accounting system.
  • Payment: Make payments for all items and services which have been approved by the CFM/CD.
  • Field Payments: Makes all payments for volunteers, CFWs, and daily workers in the camps (this includes preparation of payment sheets before field payment).
  • Safe & Cashbook Checking: At the end of each day, the cashbook and the safe should be checked, and the balance should correspond.
  • Actively monitor cash flow and forecast short-term financial needs.
  • Money Transfer Dealing: Registration and exchange of voucher reference between Country Office and area/HQ.
  • Make Voucher: Prepare a related Voucher for making payment & transferring money in a timely manner.
  • Record Keeping: Enter all cash and bank transactions into the accounting system SAGA on a daily basis.
  • Filling Voucher: File all financial documents systematically for easy retrieval and an audit trail.
  • Cash and Bank Reconciliation: Maintain accurate daily cash balances and bank accounting records. Reconcile cash on hand with the cashbook and prepare regular bank reconciliations to ensure accuracy and consistency in financial records.
  • Scan & Archive Voucher: Scan and archive all vouchers along with payment-related supporting documents on the Acted archive platform.    

Monthly Basis:

  • Cashbook: At the end of each month, the balance in the cashbook and in the safe should be checked, and the cash checking statement should be established and signed by the cashier and his CFM/DFM.
  • Vouchers: The Quality of vouchers should be checked & matched by the Cashier at the end of each month with the SAGA accounting system.
  • Advances: Ensure the clearance of all advances for the staff before paying the salary.
  • Money Transport & Volunteer Payment: Responsible for transporting money to the camps & making the volunteer payments.
  • Cash Request Procedures & Vendor Payments: Completing Cash request procedures and Vendor Payments in coordination with Logistics and Program.
  • Monthly Closing and Prepare Reconciliation: Prepare monthly Cash checking statements and the Bank reconciliation statements for Cash and Bank books.
  • Support the preparation of monthly financial reports, including cashbooks, petty cash reconciliations, and expense summaries.

General:

  • Commit to the humanitarian principles of strict neutrality, religious and political impartiality, and non-discrimination.
  • Ensure all transactions comply with donor regulations, internal financial policies, and accounting standards.
  • Contribute to financial monitoring and cash flow management as required.
  • Ensure that accounting data provides a true and fair view of the organization’s financial situation.
  • Safeguard all financial documents and cash assets against loss or misuse.
  • Assist with internal and external audit preparations by providing required documents.
  • Report and clarify any work-related issues and challenges to the supervisor promptly.
  • Respect time, including work, meetings, deadlines, and other reasonable requests.
  • Maintain a good team spirit and a stimulating working environment amongst staff and colleagues.
  • Commit to honest, high-quality work in all aspects of responsibilities.
  • Be solution-driven.
  • Consider safety and security in the field and immediately report all incidents to the security focal point.
  • Support the department for any specific task necessary for the mission, such as physical and digital filing, specific reconciliations (cash for work), etc.
  • Undertake any other tasks as reasonably assigned by the line manager.
Required qualifications and technical expertise

The candidate must have the following educational degree                                                                                  

  • Bachelor in Business, Accounting, Finance or relevant field. Specialized academic certificates or training certificates will be considered as an added advantage.
Selection Criteria
  • At least Two years of experience in related field
  • Knowledge of financial systems and procedures.
  • Highly organized and detail-oriented with strong analytical, reasoning, and problem-solving skills.
  • High level of honesty and integrity.
  • Excellent written and verbal English and Bangla.
  • Strong interpersonal skills and ability to work in teams and multi-cultural environments.
  • Habituated to extensive field visits.
  • Female candidates will be given priority.
